Portal Admins can archive users within their Portal.
Archiving a user prevents them from accessing their account while preserving their activity history.
To archive a user
Select the user (or multiple users) using the checkbox next to their name in the Portal Admin user table.
Open the Select Action drop-down menu.
Choose Archive Users.
Click OK next to the drop-down menu to begin the archive process.
You will then be asked whether you want to remove the user(s) from their associations, such as:
Circle or Group memberships
Access to other users’ Wikis, Diaries, or Stuff
Click the orange “Archive” button to confirm.
What happens when a user is archived
The user is logged out of all devices.
They cannot log in again while their account is archived.
Their activity history is preserved, but their profile will show that they are archived.
Archived users are hidden from the main user list unless you choose to display them.
How to unarchive a user
In the Portal Admin table, click Show archived users.
Select the archived user using the checkbox.
Open the Select Action drop-down menu.
Choose Unarchive User and confirm.
The user’s account access will then be restored.
Important note
If you plan to temporarily suspend a user’s access, you may wish to leave the association options unchecked when archiving.
If associations are removed during archiving, you will need to re-grant access to Circles, Groups, Wikis, Diaries, or other content when the user is unarchived.
