Portal Admins and Table Admins can edit existing RBA Tables to keep them up to date as Supported Users, staff teams and roles change.

When editing an RBA Table, you can:

  • Add or remove Supported Users

  • Add or remove RBA Users

  • Drag and drop RBA Users between different Role columns

  • Move or copy RBA Users and Supported Users between Tables

  • Edit the Table Name

  • Add or remove Table Admins

  • Add or remove Tags

  • Delete the Table


Adding and Removing RBA Users and Supported Users

Once an RBA Table has been created, you can add additional RBA Users and Supported Users to it.

This means a table that started with just one Supported User and one RBA User can be expanded to represent a whole support team, service or group of Supported Users.

You can also remove RBA Users and Supported Users when they no longer need to be included in the Table.


Drag and Drop RBA Users and Supported Users

RBA Tables make it easy to reorganise your access arrangements using drag and drop.

You can drag and drop both RBA Users and Supported Users between Tables.

When you drop them into another Table, you can choose to:

Move — Move the RBA User or Supported User from their current Table into the new Table.

Copy — Keep the RBA User or Supported User in their current Table and also add them to the new Table.


Changing an RBA User's Role

RBA Users can also be dragged and dropped between different Role columns.

For example, if an RBA User changes from a Support Worker to a Key Worker role, you can simply drag them from the Support Worker column into the Key Worker column.

Their access will then reflect the permissions you have set for that Role.

Moving or Copying RBA Users Between Tables

You can drag an RBA User from one Table into another.

Choose Move if they should leave the existing Table and move to the new one.

Choose Copy if they need to remain in their existing Table while also being added to another.

This is particularly useful for managers, agency workers or other staff who work across multiple services.


Moving or Copying Supported Users Between Tables

Supported Users can be moved or copied in exactly the same way.

For example, if a Supported User moves from one supported living service to another, you can move them from their existing Table into the new service's Table.

If they need to be included in more than one RBA Table, you can copy them instead.

TIP: Always check whether you want to Move or Copy before confirming. Copy is useful when an RBA User or Supported User needs to appear in more than one RBA Table.


Mass Assigning Users to Multiple RBA Tables

If you manage a larger number of RBA Tables, you don't have to add the same person to each Table individually.

The Mass Assign feature allows you to select an RBA User or Supported User and assign them to multiple RBA Tables at the same time.

This is particularly useful when:

  • An RBA User works across several services or teams.
  • A manager needs access across multiple RBA Tables.
  • An agency or relief worker supports people across different services.
  • A Supported User needs to be included across more than one relevant Table.
  • You are setting up or reorganising access for a larger service.


Editing the Table Name

You can change the name of an RBA Table at any time.

Click the cog icon next to the Table name to open the Table settings and edit its name.

This can be useful if a service, team, location or group changes its name.


Adding and Removing Table Admins

You can assign Table Admins so that other users can manage a particular RBA Table without needing to be a Portal Admin.

To add a Table Admin:

  1. Click the cog icon next to the Table name.

  2. Click Add Admin.

  3. Select the user or users you want to make Table Admins.

  4. Click Add.

Table Admins will see a link to the Tables they administer under the Help menu in Multi Me.

They can manage the Tables they have been assigned, but they cannot create new Roles or new RBA Tables. These functions remain with Portal Admins.

To remove a Table Admin, open the Table settings and click the cross next to their name.


Adding and Removing Tags

Tags make it easier to organise, search and filter your RBA Tables.

For example:

Cornwall · Penzance · Supported Living

To edit Tags:

  1. Find Tags at the bottom of the Table.

  2. Click the pencil icon.

  3. Add or remove the Tags you need.

  4. Click the green tick to save.

You can add multiple Tags to the same Table.


Deleting an RBA Table

If an RBA Table is no longer required, it can be deleted.

Open the Table settings using the cog icon and select the option to delete the Table.

Important: Deleting an RBA Table removes the access relationships created through that Table. It does not delete the Supported Users, RBA Users or their Multi Me accounts.


Keeping Your RBA Tables Up to Date

RBA Tables are designed to change as your organisation changes.

When staff change roles, move between services or leave; when Supported Users move between services; or when managers take responsibility for different teams, you can update your RBA Tables to reflect those changes.

This helps ensure that people's access to Supported Users' information continues to reflect their current role and responsibilities.
